A mobile EUDR supplier portal: capturing plots without friction

The EUDR bottleneck is not filling in a form. It is getting thousands of coffee farmers to capture the coordinates of their farms. A mobile supplier portal solves this: the producer opens a link on their phone, draws the polygon or drops a pin, and the platform validates everything. No install. No registration.

1. The problem: thousands of farms, one operator

A mid-size importer works with dozens of cooperatives and hundreds of producers. Asking each to install an app or register on a platform is unrealistic: response rates collapse.

The solution is a magic link: a URL with a token the supplier receives via WhatsApp or email. They open it in their phone browser and start capturing.

2. How the flow works

  1. The operator creates the invitation from their platform (linking supplier and plot).
  2. A link with a unique token and expiry is sent.
  3. The supplier opens the link on their phone.
  4. They see the map, choose point or polygon by farm size, and capture.
  5. The platform validates area, format and 6-decimal precision.
  6. The operator receives the captured, validated plot in their dashboard.

All without the supplier having an account.

3. Point or polygon: the decision is made in the field

The portal knows whether the farm requires a polygon (> 4 ha) or allows a point (≤ 4 ha). The farmer:

  • Drops a pin in the farm centre (fast, valid for ≤ 4 ha).
  • Draws the polygon by walking the border (required for > 4 ha, always valid).

The platform computes the area on the fly and warns if the geometry does not close or decimals are missing.

4. GPS and validation

The portal can use the phone GPS to centre the map or suggest the pin. But the final capture is made by the supplier: GPS helps, it does not decide. Validation checks:

  • 6-decimal coordinates.
  • Closed polygon (last point = first).
  • [longitude, latitude] order.
  • Area consistent with the declaration.

5. Bilingual and accessible

The farmer opens the link in their language (Spanish, English, Portuguese). The portal looks good on small screens and works with intermittent connectivity. Zero friction, more plots captured.

6. What the operator gains

  • More plots captured (zero friction multiplies response).
  • Fewer errors (automatic validation rejects invalid geometry instantly).
  • Traceability (each capture is logged with date, IP and user agent).
  • Time (what took weeks is done in days).

Conclusion

A mobile portal with magic links is the piece that makes the EUDR viable for a coffee SME. No apps, no registrations, just a link and a map. Try it with your first supplier in EUDR-Comply.

EUDR-Comply builds a due diligence dossier, runs an automated deforestation screening (decision support, not automatic legal conformity) and produces a TRACES-ready pack. Official submission to the EU Information System is the operator's responsibility. Deforestation cut-off reference: 31 Dec 2020. Retain evidence for 5 years.
